Ripples-FMS Container yard management system modules

Yard Management System Modules | Ripples-FMS

8 Integrated Modules. One Complete Vehicle Lifecycle — Gate to Gate.

The Ripples-FMS Yard Management System modules (YMS) and dock management software are built around a single principle: no vehicle enters or exits your yard without a complete, timestamped digital record. From the moment a driver approaches the gate to the moment the gate-out pass is printed, every action — parking assignment, dock call, spotter move, weight capture, and driver notification — is captured, logged, and visible in real time.

The YMS delivers eight integrated modules organised across three functional layers: gate and compliance, yard operations, and visibility and control. Each module solves a specific operational problem. Together, they eliminate the guesswork, manual radio calls, and spreadsheet-based tracking that cost logistics yards hours of TAT every day.

The yard management module coordinates all gate, dock, and spotter activities within the broader supply chain ecosystem. For a complete operational breakdown of how automated check-ins and dwell-time tracking integrate across distribution centres, explore our modular yard management system features. This is part of the broader Ripples-FMS cloud TMS platform.

End-to-End Vehicle Workflow

Every vehicle passes through seven stages from arrival to departure. All stages are linked to a single trip record, timestamped and auditable.

Stage 1 — Appointment & Pre-Arrival: Carrier books a slot. System validates availability and purpose (load / unload / both). Confirmation SMS sent to the driver automatically.

Stage 2 — Gate-In: Vehicle arrives at the gate. Registration captures vehicle details, driver identity, gross weight, and purpose of visit. Appointment is validated. Parking slot is auto-assigned. Gate-in timestamp created using truck gate management function.

Stage 3 — Parking: Vehicle proceeds to assigned slot. Movement from the gate to the parking is logged. Dwell timer starts. The driver receives a WhatsApp or SMS with the slot number and zone.

Stage 4 — Dock Call & Move: Priority engine determines dock readiness. Spotter assigned to move the vehicle from the parking to the dock. Movement logged. Dock-in time captured.

Stage 5 — Dock Operations: Loading or unloading begins. Operation start and end times captured. Dock-out time is recorded when the vehicle departs.

Stage 6 — Post-Dock Parking (if required): Vehicle returned to parking for further operations or waiting. Movement logged. Dwell timer continues.

Stage 7 — Gate-Out: Net weight captured. Gate-out pass generated. Detention time computed. Gate-out timestamp closes the trip record. Exit SMS sent to driver.

M-01 — Gate-In & Vehicle Registration

Entry documentation · Driver capture · Appointment validation · Gross weight

M-01 creates the master trip record that every other module references. No vehicle may enter the yard without a completed gate-in record.

Vehicle details captured: registration number, vehicle type (truck/trailer/container), carrier name, axle type, gross weight at entry, vehicle condition, seal number, and trailer status (loaded / empty / sealed/damaged).

Driver details captured: full name, licence number, national ID, mobile number, optional photograph, and second driver details where applicable.

Appointment validation: the system checks the appointment reference, validates the time window (early / on-time / late), and flags walk-in vehicles for supervisor approval. Mismatches trigger a dashboard alert without holding up the gate operator.

Gate-In workflow (8 steps): search or create record → enter vehicle and driver details → capture gross weight → select purpose of visit → system auto-assigns parking slot → print/display gate-in pass → create timestamp and send SMS → vehicle appears live on yard map.

M-02 — Parking Lot Management

Slot assignment · Occupancy tracking · Vehicle ageing · Zone management

M-02 manages the physical parking inventory of the yard — all zones, slot types, and vehicle assignments. Every vehicle has a designated location upon entry, and the system tracks how long it has been there.

Zone types: inbound, outbound, cross-dock, hazmat, and empty vehicle zones. Slot types include standard truck, oversized, refrigerated, and trailer drop.

Auto-assignment rules: cross-dock vehicles are assigned to slots closest to their designated dock doors. Hot load vehicles go to priority slots with dock pre-reservation. Standard vehicles fill the nearest available slot by zone. Supervisors can override at any time.

Occupancy and ageing monitoring: every slot shows a real-time status (free / occupied/reserved/blocked) and a live dwell timer. Configurable ageing thresholds trigger warning, critical, and overage alerts on the supervisor dashboard — preventing forgotten vehicles and unclaimed detention charges.

M-03 — Dock Door Management

Dock scheduling · Full operations timeline · Live status board

M-03 solves the dock visibility problem entirely. It captures every timestamp in the dock operation lifecycle and provides a live status board of all dock doors — the primary module addressing the operational gap of zero dock visibility that most yards still manage on whiteboards.

Eight timestamps captured per dock operation:

TimestampDefinition
Dock-In TimeVehicle arrives and parks at the dock door
Operation Start TimeLoading/unloading activity begins
Operation End TimeLoading/unloading activity completed
Dock-Out TimeVehicle departs dock door
Total Dock OccupancyDock-in to dock-out elapsed time
Actual Operation Duration: Operation start to operation end
Waiting Time at DockDock-in to operation start (pre-op delay)
Idle GapOperation end to dock-out (post-op idle)

Dock configuration: In the yard management system modules, each door is defined by type (inbound only / outbound only / flexible), special purpose (refrigerated, hazmat, oversized), and an availability schedule. Advance scheduling pre-assigns docks to appointments. Dynamic assignment handles walk-ins. Conflict detection prevents double-booking. Colour-coded visual board shows every door’s status at a glance.

M-04 — Yard Spotter Dispatch

Move task management · Priority sequencing · Utilisation tracking

M-04 manages every physical vehicle movement inside the yard. It assigns tasks to yard hostlers and spotters, sequences moves for maximum efficiency, and tracks utilisation to expose idle time and bottlenecks.

Six move task types: parking-to-dock, dock-to-parking, parking-to-parking, dock-to-dock (supervisor-authorised), gate-to-parking on entry, and parking-to-gate on exit clearance.

Task sequencing: auto-assignment to the nearest available spotter based on proximity and current workload. The move sequence is optimised by zone clustering to reduce travel distance. Hot loads and cross-dock moves take queue precedence. Every task shows a status (pending/assigned / in-progress / complete) and an estimated completion time.

Spotter utilisation: the system tracks active task count per spotter and idle time between assignments — giving operations managers data to right-size yard labour rather than guessing.

M-05 — Vehicle Movement Tracking

Real-time location · Zone transitions · Dwell time · Movement history

M-05 eliminates the “lost vehicle” problem. It maintains a continuous location record for every active vehicle, capturing every zone transition with timestamps. The RTLS hardware layer — BLE beacons and fixed readers deployed across the yard — feeds live location data directly into this module. For the hardware architecture, see the Container Yard Management System →

Six location states: Gate, In Transit (escort in progress), Parking, At Dock, Dock Operations (active load/unload), and Weighbridge.

Movement log: every state change is recorded with a timestamp. From-location, to-location, and transition time are captured. All move types are logged and linked to the spotter task that executed the move. Gate operators and supervisors can manually update vehicle location when needed — flagged in the log for audit trail.

M-06 — Gate-Out Pass & Weighment

Net/gross weight · Detention computation · Exit documentation · Trip closure

M-06 manages the vehicle exit — capturing final weight, verifying dock clearance, computing detention, and generating the official gate-out pass. It formally closes the trip record.

Gate-out workflow (7 steps): retrieve active vehicle record → verify dock clearance (operations must be marked complete before exit is permitted) → capture net weight at weighbridge → compute detention time against free-time allowance → generate gate-out pass → record gate-out timestamp → send SMS to driver confirming exit.

Gate-out pass contents: vehicle registration and type, driver name, gate-in and gate-out timestamps, total time in yard, gross/tare/net weights, dock doors used, operation summary, detention duration and charges, and authorised supervisor name.

M-07 — Driver Communication (SMS)

Automated notifications · Dock calls · Slot assignments · Detention alerts

M-07 replaces manual phone-based driver communication with automated SMS at every key lifecycle event. Drivers receive accurate, timely information without needing to call the gate, the supervisor, or the dispatcher.

Trigger EventSMS Content
Gate-in confirmation: Vehicle number, assigned slot, queue position
Parking slot assignment: Slot number, zone, and directions
Dock call — ready to move, Dock door number and estimated move time
Dock-in confirmation: Vehicle confirmed at the dock
Operations complete, Loading/unloading done — move pending
Dock-out confirmation: Vehicle departed dock — proceed to exit or holding
Gate-out clearance, Exit pass ready — clearance granted
Appointment slot change, new time and reason for change

Supervisors and planners can also receive configurable alerts on ageing vehicles, dock conflicts, and missed appointments through the same notification layer.

M-08 — Live Yard Map & Operations Dashboard

Real-time digital twin · KPIs · Operations control centre

M-08 is the control tower. It provides a visual representation of the entire yard — dock doors, parking slots, and vehicle positions — updated in real time from every other module.

Live yard map features: dock door grid with colour-coded status (available / occupied/scheduled / maintenance), parking lot grid (free / occupied/reserved / blocked), vehicle icons with registration number and current status, in-premise vehicle count, hot load highlights, zone-level capacity bars, and click-through detail on any dock, slot, or vehicle.

KPIs tracked live: average truck turnaround time (TAT), dock occupancy rate, spotter task completion rate, vehicles exceeding dwell threshold, detention charges accrued, and dock idle time per door.

Where Ripples-FMS YMS Modules Are Deployed

East Africa — Kenya, Tanzania, Uganda, Ethiopia

East African logistics yards face a combination of high truck volumes on key corridors (Northern Corridor, Mombasa–Nairobi–Kampala) and persistent manual gate processes that create congestion before a vehicle even enters the yard. The gate-in and appointment validation modules (M-01) directly address this — validating appointment references, flagging walk-ins, and auto-assigning parking without a gate operator making calls. Across Nairobi dry port operations, Dar es Salaam container yards, and Kampala inland depots, M-03 dock visibility and M-06 detention computation are the modules generating the fastest ROI: operators who previously had no documented dock timeline can now produce proof-of-delay data for carrier negotiations and detention billing. The Aga Khan Health Network and UNHCR logistics hubs in the region have added requirements around cold chain and hazmat zone separation — addressed directly by M-02 zone configuration.

Southern Africa — South Africa, Mozambique, Zambia, Zimbabwe

SADC cross-border freight moves through yards that serve simultaneously as customs staging areas, parking facilities, and load consolidation points. Beira Corridor operations in particular demand tight dock scheduling (M-03) because vessels have narrow berthing windows, and a delayed truck at the wrong dock creates a cascade across the port. M-05 vehicle movement tracking — integrated with the BLE RTLS hardware layer — is deployed at Durban and Beira yards, where container positioning inside a large terminal is operationally equivalent to a search problem: spotters waste shift hours locating vehicles that were moved without a log entry. The spotter dispatch module (M-04) with priority sequencing is also critical for South African FMCG distribution yards operating multi-shift schedules, where cross-dock freight and backorder vehicles compete for the same dock resource.

West Africa — Nigeria, Ghana, Senegal

West African yards, particularly in Lagos and Tema, experience some of the highest truck dwell times on the continent — in part because gate processes are manual and detention charges are poorly documented. M-06 gate-out weighment with computed detention time, cross-referenced against gate-in timestamp from M-01, gives yard operators for the first time an automated, auditable detention record that carriers cannot dispute. M-07 driver SMS is particularly high-impact in these markets because WhatsApp-first driver communication is already normalised — the automated SMS layer replaces dozens of manual dispatcher calls per shift without requiring any change in driver behaviour.

India — Maharashtra, Gujarat, Rajasthan, Tamil Nadu

Indian manufacturing and 3PL yards operating on JNPT, Chennai port, and Golden Quadrilateral corridors deal with weighbridge compliance and axle documentation requirements that M-01 and M-06 capture natively — gross weight at entry, net weight at exit, axle category logged against the vehicle record. For food processing yards in Maharashtra and pharmaceutical distribution in Gujarat, M-02 zone management with refrigerated and hazmat slot types, combined with M-03 dock scheduling, enables FSSAI and GDP-compliant cold chain handling documentation without a separate system. Detention computation in M-06 aligns with standard Indian transporter free-time allowances (typically 24–48 hours), generating charges in INR against the carrier’s trip record and linking directly into Ripples-FMS freight billing.

South America — Brazil, Argentina, Chile

Brazilian logistics yards managing CT-e consignments face an additional documentation layer at gate-out: the net weight captured in M-06 must reconcile with the CT-e declared load. The Ripples-FMS YMS captures gross and tare weights at both entry and exit, providing the compliance record for SEFAZ cross-referencing. In Argentina and Chile — where Andean corridor freight involves long dwell times at border facilities — M-05 vehicle movement tracking with configurable dwell alerts gives operators an early warning before a vehicle moves into fee-generating detention. For large agribusiness yards in Mato Grosso and Rio Grande do Sul, M-08 live yard map with zone-level capacity monitoring provides shift supervisors a single screen that replaces walkie-talkie status checks across yards measuring several hectares.

Middle East — UAE, Saudi Arabia, Qatar

GCC logistics yards serving retail, petrochemical, and FMCG sectors operate under JAFZA, KIZAD, and MODON free zone regulations that require documented gate records and complete vehicle audit trails. M-01 through M-06 together produce this trail automatically — no manual logbook, no paper gate pass. For Saudi Arabia yards operating under FASAH (the national single-window logistics platform), the structured data captured in M-01 (vehicle registration, driver ID, gross weight, purpose of visit) maps directly to FASAH manifest fields. JCI-compliant healthcare supply chain operators in the UAE using cold chain vehicles benefit from M-02 refrigerated slot management and M-03 dock scheduling with operation start/end timestamping for GDP audit purposes.

Deploy Only What You Need

The Ripples-FMS Yard Management Software (YMS) is modular by design. Operators can begin with gate-in and parking management (M-01, M-02) and add dock scheduling, spotter dispatch, and the live dashboard progressively. Each module is independently configurable — the number of dock doors, parking zone layout, SMS trigger events, ageing thresholds, and KPI targets are all set per facility during implementation.

What are the biggest challenges in managing a high-volume logistics yard?

The primary challenges in high-volume logistics yards include trailer congestion, invisible dwell times, manual gate check-in bottlenecks, and lack of real-time asset tracking. Without automated Yard Management Systems (YMS), facilities struggle with misplaced trailers, inefficient dock door scheduling, and high detention fees incurred by delayed carrier turnaround.

How do yard management systems handle exception alerts for late or missing trailers?

Modern yard management platforms utilize automated RFID, IoT gateway tracking, and geofencing to monitor trailer movements continuously. When a scheduled carrier is late or a trailer deviates from expected dwell-time thresholds, the system triggers automated real-time exception alerts and dashboard notifications to dispatchers and yard managers, preventing loading dock gridlock.
